Privacy Policy

Overview

Prime AI Services (“Prime AI”, “we”, “us”, or “our”) provides AI agent and workflow tools for service businesses. This policy explains the information we process, why we process it, when it may be shared, and the choices available to you.

Information we process

• Account data — name, email address, password hash when password login is used, Google account identifier when Google Sign-In is used, and an optional company name.
• Workspace data — workspace membership, business settings, agent configuration, knowledge and content supplied to agents, approvals, tasks, and usage or credit records.
• Usage content — chat messages, instructions, generated content, tool results, and agent-run metadata created while using the service.
• Integration data — connected-account labels, granted permissions, encrypted access credentials, and data returned by integrations you enable.
• Technical data — essential session cookies, IP-derived rate-limit identifiers, request and security logs, device or browser information, and diagnostic error data.

Google account and Google Workspace data

Google Sign-In provides your Google account identifier, verified email address, name, and profile image so we can create, link, or authenticate your Prime AI account.

If you separately connect Google Calendar and Gmail, Prime AI may process the following data only to provide the connected features you choose to use:

• Calendar availability and the event details needed to check busy periods and create calendar events.
• Gmail message identifiers, thread identifiers, sender, recipient, subject, date, search results, and short message snippets when you ask an authorized agent to search or review recent mail.
• Recipient, subject, message body, and optional reply-to details when an approved action sends email through your Gmail account.
• OAuth access and refresh tokens, granted scopes, and the email address used to label the connected Google account.

Google connections belong to a Prime AI workspace. Authorized members of that workspace and its permitted agents may therefore use the connection and see relevant results. Do not connect an account unless you are authorized to make its data available in that workspace.

Our use and transfer of information received from Google APIs complies with the Google API Services User Data Policy, including its Limited Use requirements. We do not sell Google user data or use it for targeted advertising.

How we use information

• Provide, personalize, and secure accounts and workspaces.
• Carry out user-requested agent actions, including preparing or sending messages and checking or updating calendars.
• Maintain conversation history, approvals, audit context, and other user-facing workspace records.
• Meter service usage, administer billing, and prevent abuse.
• Diagnose errors, maintain reliability, and enforce our terms.

AI providers and other service providers

To generate a requested response or complete a user-facing agent feature, Prime AI may send the user's instruction, relevant conversation context, and the minimum relevant integration data to the configured AI model provider. For example, an email subject or snippet may be provided when you ask an agent to summarize or act on that message. We do not use Google user data to train our own general-purpose AI models.

We also use infrastructure, database, authentication, monitoring, email-delivery, and payment providers to operate the service. These providers may process information on our behalf under their applicable contractual and security obligations. We may disclose information when required by law, to protect users or the service, or as part of a business transaction subject to appropriate safeguards.

Storage and security

Google OAuth credentials are stored in encrypted form in workspace-scoped integration records. We use HTTPS for supported production connections and apply access controls intended to keep workspace data separated. No online service can guarantee absolute security, so you should protect your account and promptly report suspected unauthorized access.

Retention, disconnection, and deletion

Account and workspace records are generally retained while the relevant account or workspace remains active and as reasonably needed to provide the service, maintain security and business records, resolve disputes, and meet legal obligations.

Disconnecting Google in the Integrations area removes the stored Google access and refresh tokens and disables Google Calendar and Gmail access for that workspace. It does not delete data from your Google account. You can also revoke Prime AI's access from your Google Account permissions.

Data previously included in conversations, approvals, generated content, or audit records is separate from the live Google connection and may remain with the workspace until those records or the workspace are deleted. Deleting a sole-member workspace removes its workspace data. If other members remain, shared workspace data may remain available to them after an individual member leaves or deletes their account.

Your choices and rights

You can disconnect integrations from the Integrations area and export or delete account data from the Privacy area in Settings, subject to workspace membership and legal-retention requirements. You may also ask us to access, correct, export, or delete personal information where applicable law provides that right.

Children

The service is intended for businesses and is not directed to children under 18. We do not knowingly collect personal information from children through the service.

Changes to this policy

We may update this policy as the service or legal requirements change. We will update the date above and provide additional notice when a change materially affects how we process personal information.
